Manage Shares

A Share is a magic-link grant that lets someone read a Session without a VoiceQC account. Shares are time-limited, optionally password-protected, and revocable. Recipients see a read-only view at /guest/:token/session/:sessionId — they can play audio, read transcriptions, and view Properties, but cannot edit.

  1. Open the Session you want to share.

  2. Click the Share button in the Session toolbar (top of the page, share icon + “Share” label).

  3. The Share Management dialog opens with two tabs: Create New Share and Manage Existing Shares.

On the Create New Share tab:

  1. Set the expiration. Enter how many days the Share should remain valid. Must be between 7 and 90 days. The default is set by your account.

  2. Choose password protection. Pick one:

    • No password — anyone with the link can view.
    • Auto-generate password — VoiceQC generates a strong password and shows it to you once, after creation.
    • Custom password — type your own. Must meet the length and pattern shown below the input.
  3. (Optional) Add a description. This is an internal note — for example, “Shared with Client A for review.” It’s visible to you in the Manage tab and never to the recipient.

  4. Click Create Share.

After the dialog closes, the Share’s URL is available on the Manage Existing Shares tab.

On the Manage Existing Shares tab, click Copy next to a Share to copy its URL. Send the URL (and the password, separately, if you set one) to the recipient via your preferred channel — email, Slack DM, whatever’s appropriate. VoiceQC doesn’t send the link or password on your behalf.

To keep an existing Share alive past its expiration:

  1. On the Manage Existing Shares tab, find the Share’s row.

  2. Click Extend.

  3. The Extend dialog opens. Enter how many additional days to add. The default is 30.

  4. Click Confirm. The dialog shows the new expiration date for confirmation before submitting.

You can extend a Share any number of times.

To make a Share’s link stop working immediately:

  1. On the Manage Existing Shares tab, find the Share’s row.

  2. Click Delete.

  3. Confirm in the dialog that pops up.

The Share’s status badge changes to Deleted. The link returns an error to any recipient that tries to use it.

In the Manage Existing Shares table, each Share carries one badge:

BadgeWhat it means
ActiveThe Share is within its expiration window and works.
ExpiredPast its expiration date. The link returns an error; extend or delete it.
InactiveDisabled (rare; usually administrative).
DeletedRevoked. The link is permanently invalid.

When the recipient opens the link:

  • If no password: they go straight to the read-only Session view.
  • If a password is set: they’re prompted for it before the view loads. The browser remembers the password for the duration of the session tab.

The recipient can play any audio file in the Session, read transcriptions, and see Properties. They cannot upload, edit Properties, change the Session, see other Sessions, or sign up for an account from the guest view.
